Job Overview:
The Registrar is responsible for overseeing and managing the enrollment, academic records, registration, and scheduling processes for all students. This includes maintaining accurate and confidential student records, coordinating graduation processes, ensuring compliance with institutional policies and regulations, and facilitating communication between various campus departments. The Registrar plays a critical role in student success by supporting academic policies, ensuring the efficient operation of registration systems, and upholding the integrity of the institution’s academic records.
Key Responsibilities:
- Student Records Management:
- Maintain accurate and up-to-date records for all current and former students, ensuring confidentiality and compliance with FERPA (Family Educational Rights and Privacy Act).
- Oversee the processing of transcripts, grades, academic standing, and student enrollment history.
- Ensure that all student information is properly entered into the student information system (SIS) and that records are kept in accordance with university policy.
- Registration & Enrollment:
- Coordinate the registration process for all students, including the creation of course schedules, academic term calendars, and the assignment of academic advisors.
- Ensure that students are appropriately registered, help resolve registration issues, and assist in course prerequisites or scheduling conflicts.
- Provide guidance to students regarding registration deadlines, add/drop periods, and the consequences of schedule changes.
- Compliance and Reporting:
- Ensure compliance with federal, state, and institutional regulations concerning student records, registration, and privacy.
- Maintain accurate records for academic audits, federal reporting, and accreditation purposes.
- Prepare and submit reports for institutional assessment, accreditation bodies, and government agencies (e.g., National Student Clearinghouse, IPEDS).
- Graduation and Certification:
- Oversee the graduation process, including the verification of student eligibility, review of degree requirements, and the preparation of diplomas and certificates.
- Coordinate commencement ceremonies, including student participation, program printing, and other logistical needs.
- Track and process petitions for exceptions to academic policies related to graduation requirements.
- Data Integrity and Systems Management:
- Monitor the integrity of the student information system, troubleshooting any discrepancies or errors.
- Collaborate with IT and academic departments to ensure that the registration and records systems are functioning efficiently and effectively.
- Provide training to faculty and staff on the use of the institution’s SIS and other relevant systems.
- Advising and Student Services:
- Act as a resource for students, faculty, and staff regarding academic policies, registration processes, and student records.
- Advise students on their academic progress and assist in resolving registration issues, including academic holds or restrictions.
- Work with academic departments to resolve conflicts regarding student enrollment, course prerequisites, or academic standing.
- Supervision and Staff Management:
- Lead and supervise the Registrar’s office staff, including hiring, training, and evaluating personnel.
- Foster a collaborative and customer-service-oriented environment within the Registrar’s office.
- Develop and implement office procedures, ensuring efficiency, accuracy, and compliance with institutional policies.
- Communication:
- Communicate effectively with students, faculty, and staff regarding registration timelines, deadlines, and policy changes.
- Coordinate the dissemination of important academic information such as academic calendars, registration guidelines, and final grade submission deadlines.
- Ensure timely responses to inquiries regarding transcripts, registration issues, and academic records.
Qualifications:
- Education:
- Bachelor’s degree in higher education administration, business, or related field (Master’s degree preferred).
- Experience:
- Minimum of 5 years of experience in academic administration, preferably in a registrar’s office or related area.
- Demonstrated experience with student information systems (SIS) and academic records management.
- Knowledge of FERPA, accreditation standards, and federal regulations related to student records.
- Skills:
- Strong organizational and time-management skills with the ability to prioritize multiple tasks.
- Exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite, database management, and student information systems.
- Strong problem-solving skills and the ability to handle sensitive or confidential information appropriately.
