Job Overview:

An Academic Advisor is responsible for providing guidance and support to students in their academic journey. The advisor helps students navigate their academic path, select courses, develop academic plans, and achieve their educational and career goals. The role requires collaboration with faculty, staff, and students, as well as a deep understanding of institutional policies, degree requirements, and available resources. The Academic Advisor works closely with students to help them succeed academically and personally throughout their time at the institution.

Key Responsibilities:

  1. Academic Advising:
    • Assist students in developing educational plans that align with their academic and career goals.
    • Advise students on course selection, major requirements, academic policies, and graduation requirements.
    • Help students understand degree audits and monitor their progress toward meeting academic goals.
    • Counsel students on strategies for academic success, including time management, study skills, and navigating academic challenges.
  2. Support and Retention:
    • Identify at-risk students and develop strategies for intervention, including referrals to appropriate support services (e.g., tutoring, counseling, academic workshops).
    • Encourage students to engage with the academic community and take advantage of extracurricular opportunities.
    • Monitor student academic progress, including GPA, course completion, and any academic or behavioral concerns.
    • Follow up with students who are placed on academic probation or have other academic challenges to provide guidance and resources for improvement.
  3. Degree Planning:
    • Help students understand and develop individual academic plans that align with their long-term educational and career aspirations.
    • Provide guidance on how to select courses that meet general education, major-specific, and elective requirements.
    • Advise on study abroad opportunities, internships, and co-op programs, and help students integrate these experiences into their academic plans.
  4. Policy and Procedure Guidance:
    • Keep students informed about academic policies, such as withdrawal procedures, grade appeal processes, and other institutional regulations.
    • Explain academic policies and procedures, including the process for adding/dropping courses, changing majors, and transferring credits.
    • Guide students through the course registration process and assist with any registration-related issues.
  5. Career and Professional Development:
    • Advise students on career exploration and help them align their academic pursuits with potential career options.
    • Assist students with preparing for internships, graduate school applications, and job searches by recommending courses, extracurricular activities, and networking opportunities.
    • Provide support and resources for students applying for scholarships, fellowships, or other academic opportunities.
  6. Workshops and Programs:
    • Plan and host workshops on academic success, career exploration, and personal development.
    • Offer seminars on topics such as time management, study skills, and coping with academic stress.
    • Participate in orientation sessions for incoming students, providing them with an introduction to academic resources and advising services.
  7. Collaboration:
    • Work closely with faculty members to ensure students receive comprehensive academic advising and support.
    • Collaborate with other departments (e.g., Career Services, Counseling, Student Support Services) to provide students with holistic support.
    • Communicate with department heads or deans to discuss students’ academic performance and needs.
  8. Record Keeping and Documentation:
    • Maintain accurate records of student interactions, academic advising sessions, and action plans.
    • Document and track student progress and interventions as needed, ensuring all information complies with institutional policies and privacy standards (e.g., FERPA).
    • Prepare reports on advising activities, student outcomes, and areas for improvement.
  9. Crisis Management and Problem Solving:
    • Provide guidance for students experiencing personal or academic crises, and refer them to appropriate campus resources.
    • Assist in resolving issues related to course load, academic progress, or challenges that may arise throughout the academic year.

Qualifications:

  • Education:
    • Bachelor’s degree required (Master’s degree in education, counseling, or a related field preferred).
  • Experience:
    • Minimum of 2-3 years of experience in academic advising, student services, or a related role in higher education.
    • Experience working with diverse student populations and understanding the needs of non-traditional or first-generation college students is a plus.
  • Skills:
    • Strong communication skills, both verbal and written, with the ability to build rapport with students and faculty.
    • Knowledge of academic policies, degree programs, and the course registration process.
    • Proficiency with student information systems (SIS) and Microsoft Office Suite (Word, Excel, PowerPoint).
    • Ability to work independently and as part of a team.
    • Strong organizational and time-management skills, with the ability to manage multiple students and tasks simultaneously.
    • Problem-solving abilities and a student-centered approach to advising.
