Administrative Assistant

Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support to our team. The successful candidate will be responsible for performing a variety of administrative tasks, including data entry, scheduling, and record-keeping.

Key Responsibilities:

Administrative Support

– Provide administrative support to department staff, including answering phones, responding to emails, and greeting visitors.
– Manage and maintain accurate and up-to-date records and databases.
– Perform data entry tasks, including updating spreadsheets and databases.

Scheduling and Coordination

– Coordinate and schedule meetings, appointments, and events.
– Prepare and distribute meeting materials, including agendas and minutes.
– Ensure that all necessary equipment and supplies are available for meetings and events.

Communication and Correspondence

– Prepare and send correspondence, including emails, letters, and reports.
– Develop and maintain departmental documents, including policies and procedures.
– Ensure that all communication is professional and accurate.

Record-Keeping and Filing

– Maintain accurate and up-to-date records, including personnel files, departmental records, and other documents.
– Develop and implement effective filing systems, both physical and electronic.

Other Duties

– Perform other administrative tasks as needed, including photocopying, scanning, and faxing.
– Provide backup support to other administrative staff as needed.

Requirements:

Education

– High school diploma or equivalent required.
– Associate’s or bachelor’s degree preferred.

Experience

– At least 2 years of administrative experience.
– Experience in a fast-paced office environment preferred.

Skills

– Excellent communication, organizational, and time management skills.
– Ability to work independently and as part of a team.
– Strong attention to detail and accuracy.
– Proficient in Microsoft Office, including Word, Excel, and Outlook.

Working Conditions:

– Work in a fast-paced office environment.
– May be required to work flexible hours, including evenings and weekends.
– May be required to travel to other locations for meetings and events.
