Academic Coordinator
Job Summary:
An Academic Coordinator plays a key role in managing and supporting the academic operations of a school, college, or educational institution. They work closely with faculty, students, and administration to ensure that academic programs run smoothly, policies are adhered to, and educational objectives are met. The Academic Coordinator’s responsibilities include curriculum development, scheduling, resource allocation, faculty support, and ensuring a high-quality learning environment.
Key Responsibilities:
1. Curriculum and Program Development:
- Assist in Curriculum Design: Collaborate with department heads, faculty members, and administrators to develop, review, and improve curricula for courses and academic programs.
- Ensure Alignment: Ensure that academic programs meet accreditation standards and align with institutional goals and educational standards.
- Develop Educational Resources: Assist in creating or selecting textbooks, teaching aids, and other instructional materials to support the academic curriculum.
2. Scheduling and Planning:
- Course Scheduling: Develop and manage class schedules for faculty and students, ensuring that there are no conflicts and that courses are adequately staffed.
- Coordinate Timetables: Organize and distribute timetables for students and faculty, ensuring that academic calendars and schedules are followed.
- Organize Events: Plan and oversee academic events, such as orientation, exams, graduation, and other institutional activities.
3. Faculty and Student Support:
- Faculty Coordination: Provide support to faculty members in terms of resources, curriculum development, and student issues. Act as a liaison between faculty and administration.
- Student Guidance: Assist students with academic planning, course selection, and any academic challenges they may face. Provide guidance regarding course requirements, academic policies, and procedures.
- Monitor Student Progress: Track and analyze student performance, identifying students who may need additional support and referring them to relevant resources (e.g., tutoring, counseling).
4. Administrative and Operational Support:
- Maintain Records: Ensure that academic records, including grades, attendance, and reports, are accurately maintained in accordance with institutional policies.
- Support Accreditation Processes: Assist in preparing reports and documents necessary for accreditation reviews and evaluations.
- Compliance with Policies: Ensure that academic policies, procedures, and regulations are adhered to by students and faculty, and address any violations appropriately.
5. Quality Assurance and Improvement:
- Monitor Academic Performance: Oversee the academic performance of programs, ensuring that learning outcomes are being achieved.
- Evaluate Programs: Collect feedback from students, faculty, and staff to assess the effectiveness of academic programs and identify areas for improvement.
- Implement Changes: Collaborate with senior leadership to implement improvements based on feedback and evaluation results.
6. Communication and Reporting:
- Liaise with Stakeholders: Act as a point of contact for students, faculty, and administrative staff to resolve academic-related issues.
- Report to Senior Management: Provide regular reports to senior leadership on academic progress, issues, and recommendations for improvements.
- Promote Academic Initiatives: Support the promotion and implementation of new academic initiatives, policies, and strategic goals.
Qualifications:
- Education: A Bachelor’s or Master’s degree in Education, Educational Leadership, or a related field.
- Experience: At least 3-5 years of experience in an educational setting, preferably in an administrative or coordination role. Experience working directly with faculty and students is highly valued.
- Certifications: Relevant certifications in educational administration, project management, or a related field are a plus.

- Organizational Skills: Strong ability to manage multiple tasks, schedules, and academic programs simultaneously.
- Communication: Excellent verbal and written communication skills for interacting with faculty, students, and administration.
- Problem-Solving: Strong analytical and problem-solving skills to address student, faculty, and curriculum-related issues.
- Attention to Detail: High level of attention to detail, particularly in maintaining accurate academic records and schedules.
- Leadership: Ability to motivate, guide, and support faculty and students, while fostering a positive and collaborative environment.
- Technology Proficiency: Familiarity with academic management software, scheduling tools, and other administrative systems commonly used in educational institutions.
Working Conditions:
- Hours: Full-time position, with some flexibility depending on the academic calendar and specific institution needs.
- Environment: Primarily office-based, with occasional time spent in classrooms, faculty meetings, or during academic events.
