Job Overview:
The School Coordinator is responsible for supporting the day-to-day operations of the school, ensuring that educational and administrative activities run smoothly. The role involves coordinating between teachers, students, parents, and school management to facilitate communication, manage schedules, and provide organizational support. The School Coordinator plays a key role in maintaining a positive learning environment, ensuring that school policies and procedures are followed, and supporting the effective delivery of educational programs.

Key Responsibilities:

  1. Administrative Support:
    • Assist the school principal or head of school with the management of administrative tasks, including scheduling meetings, managing correspondence, and preparing reports.
    • Maintain records of school activities, student attendance, and other important documents.
    • Oversee the organization and distribution of school supplies, materials, and resources.
    • Handle administrative duties related to student registration, school events, and external communications.
  2. Communication Management:
    • Serve as a liaison between school staff, students, parents, and external organizations to ensure effective communication.
    • Coordinate parent-teacher meetings, school events, and other communication between the school and the community.
    • Prepare newsletters, bulletins, and other communications for the school community, ensuring information is up-to-date and accurately presented.
  3. Event and Program Coordination:
    • Organize school events, such as parent-teacher conferences, extracurricular activities, school assemblies, and special projects.
    • Support the planning and execution of field trips, social events, and other school-wide activities.
    • Coordinate the scheduling of classroom activities, exams, and school events to avoid conflicts.
  4. Student Support and Welfare:
    • Monitor student attendance and work with teachers and parents to address any concerns related to attendance or behavior.
    • Support students by ensuring they have access to the resources they need for academic success.
    • Provide assistance with student discipline and conflict resolution, following the school’s policies and procedures.
    • Help manage the school’s systems for identifying and supporting students with special educational needs or behavioral challenges.
  5. Staff Coordination and Support:
    • Assist in coordinating the schedules and workloads of teachers, ensuring that class timings and resources are effectively managed.
    • Provide support to teachers in administrative tasks, such as grading, class preparation, and maintaining student records.
    • Act as a point of contact for staff concerns or requests, helping to resolve issues as they arise.
    • Coordinate professional development opportunities and workshops for teachers to enhance their skills and knowledge.
  6. School Operations and Policy Implementation:
    • Ensure that school policies and procedures are followed by staff, students, and visitors.
    • Assist with school safety protocols, including emergency preparedness drills and managing student behavior in compliance with school rules.
    • Help in the preparation for school inspections or audits, ensuring compliance with regulatory requirements.
  7. Data Management and Reporting:
    • Maintain student records, attendance logs, and academic progress reports.
    • Assist in the preparation of reports for parents, school boards, and regulatory agencies.
    • Use data management software to track and report on student performance, attendance, and other metrics.
  8. Financial Administration:
    • Help manage the school budget for materials, events, and extracurricular activities.
    • Assist with the procurement of educational resources and supplies.
    • Help organize and track fundraising efforts or school donations, ensuring funds are properly allocated.

Skills and Qualifications:

  • Education: A bachelor’s degree in Education, Administration, or a related field. Additional qualifications in school management or administration are a plus.
  • Experience:
    • Previous experience in an administrative or coordination role in an educational setting is preferred.
    • Experience with office management, scheduling, and organizing events is highly beneficial.
  • Skills:
    • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
    • Excellent communication skills, both written and verbal.
    • Ability to handle sensitive information with discretion and maintain confidentiality.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and school management software.
