Job Overview: The School Coordinator is responsible for managing and supporting the day-to-day operations of the school, ensuring that the school runs smoothly and effectively. This position involves overseeing various administrative, logistical, and operational tasks, coordinating between departments, staff, students, and parents, and ensuring a safe and conducive learning environment.

Key Responsibilities:

  • Administrative Support:

    • Assist in the planning and implementation of school events, activities, and programs.
    • Coordinate schedules for staff meetings, parent-teacher conferences, school assemblies, and other school-related activities.
    • Manage the school’s calendar, ensuring that important dates, deadlines, and events are well-organized and communicated to staff and families.
    • Ensure that school records are properly maintained and updated, including student records, attendance, and documentation for accreditation and reporting purposes.
  • Communication and Coordination:

    • Serve as the main point of contact for staff, students, and parents regarding school policies, schedules, and general inquiries.
    • Facilitate communication between teachers, administrators, and parents to ensure that everyone is informed about student progress, school activities, and important updates.
    • Coordinate with external stakeholders, such as vendors, community organizations, and local authorities, to ensure smooth collaboration and support for school programs.
  • Student Support:

    • Assist in the implementation of student support programs, including extracurricular activities, counseling, and special needs services.
    • Help ensure that student behavior and attendance are monitored and that appropriate interventions are in place for students in need of additional support.
    • Help create and maintain a positive and inclusive school culture where students feel supported and engaged in their learning.
  • Staff Support:

    • Assist in coordinating staff training, professional development programs, and staff meetings.
    • Support new staff orientation and provide ongoing support to teachers and administrative staff as needed.
    • Monitor staff attendance and assist in the coordination of substitute teachers when necessary.
  • Operations and Facilities Management:

    • Ensure that school facilities and equipment are in good working order and report any issues to the appropriate department.
    • Oversee the organization and management of school supplies and materials, including textbooks, classroom resources, and office supplies.
    • Support the planning and execution of maintenance or renovation projects as needed.
  • Event and Activity Planning:

    • Coordinate and assist in the planning and execution of school events, such as school fairs, graduation ceremonies, and parent meetings.
    • Organize fundraising efforts, volunteer initiatives, and community outreach activities.
    • Manage the logistics for school-wide activities, such as field trips, sports events, and cultural programs.
  • Compliance and Reporting:

    • Assist in ensuring that the school complies with local and state regulations, as well as accreditation requirements.
    • Prepare reports for the school administration, board of education, or other stakeholders as needed.
    • Ensure that necessary paperwork for student enrollment, health records, and other legal documents is properly maintained.

Qualifications:

  • Bachelor’s degree in Education, Business Administration, or related field (preferred).
  • Previous experience in an administrative or school support role (preferred).
  • Strong organizational and multitasking abilities.
  • Excellent communication skills, both verbal and written.
  • Proficiency in office software (Microsoft Office, Google Suite, etc.) and school management systems.
  • Ability to work collaboratively with teachers, administrators, students, and parents.
  • Strong problem-solving skills and the ability to handle sensitive or confidential information.

Physical Requirements:

  • Ability to stand, walk, and occasionally lift up to 20 lbs.
  • Ability to work in a fast-paced environment and manage multiple tasks at once.

Working Conditions:

  • Full-time, typically Monday through Friday.
  • Occasional evening or weekend work may be required for school events, meetings, or activities.
