Office Assistant

Job Summary:

An Office Assistant provides administrative support to ensure the smooth operation of the office. They perform a variety of tasks, including answering phones, managing files, and providing customer service.

Key Responsibilities:

Administrative Support
1. Answer phones, respond to emails, and greet visitors.
2. Manage and maintain files, both physical and digital.
3. Assist with data entry, mailings, and other administrative tasks.
4. Provide customer service and support to clients, customers, or students.

Office Operations
1. Maintain office supplies, equipment, and facilities.
2. Assist with event planning, coordination, and execution.
3. Ensure office safety and security procedures are followed.
4. Perform other duties as assigned by management.

Communication and Teamwork
1. Communicate effectively with colleagues, management, and external contacts.
2. Provide backup support to other administrative staff as needed.
3. Participate in team meetings and contribute to office initiatives.
4. Maintain confidentiality and handle sensitive information with discretion.

Requirements:

1. High School Diploma: A high school diploma or equivalent required.
2. Administrative Experience: 1-2 years of administrative experience preferred.
3. Communication Skills: Excellent communication, interpersonal, and customer service skills.
4. Technical Skills: Proficiency in Microsoft Office, Google Suite, or other productivity software.

Preferred Qualifications:

1. Associate’s or Bachelor’s Degree: An associate’s or bachelor’s degree in a related field.
2. Office Software Certification: Certification in office software applications, such as Microsoft Office or Google Suite.
3. Bilingual or Multilingual: Ability to communicate in multiple languages.
